EVERY FUNDRAISER IS DIFFERENT, BUT HERE’S A FEW NOTES, TIPS AND RESOURCES!
Running Sheet:
Please send us a Running Sheet 2 weeks before your event. Please outline:
-
the activities planned for the event;
-
how long each activity will take;
-
who is responsible for each activity.
If you aren’t sure how to go about this, don’t stress - we’ve prepared a running sheet and ‘other things we’d like to know’ template for you to complete here.
When we receive your running sheet 2 weeks before your event, we will call and talk it through to make sure we have it all covered. We will pay particular attention to what you have Samuel scheduled for. Here’s some handy tips for scheduling Samuel:

Generally we find it works best to have Samuel speak almost immediately after arriving at the event. It’s lovely if you or someone from your community can introduce Samuel to the room before he speaks. If you are not sure what to say - don’t worry we’ve got you covered. Click here.

After being introduced, Samuel will take to the stage, say Hi and introduce the video “Our Story So Far” (6 mins) then address the room for 25-40 mins.

Immediately after Samuel speaks, he will invite guests to join him at a signing table to chat, give individual donations and get selfies or signatures. Importantly, please do not schedule any activities involving Samuel for 60 minutes after he finishes speaking. It’s important to us that anyone who wants to say hello to Samuel gets the chance during this time.
How long will Samuel be there?
We will discuss the specific timeline for your event with you, but in general Samuel and the LYS team will attend events for between 1.5 - 2.5hrs. That is not to say the event can’t start before we arrive, or kick on after we leave!
What activities might Samuel participate in at the fundraiser?
If you have any ideas for activities at the event that involve Samuel’s participation - like drawing a raffle, calling an auction or playing a game - please run them by us first because this is not always possible. We love surprises… as long as we know about them in advance! It’s always a good idea to have someone else running any activities, so that if Samuel gets caught up they can still go ahead without him!
Fundraising ideas…
Every little bit counts! Here’s a couple of tried-and-tested ideas:

Raffles - ask local businesses to donate prizes;

Auctions - live or silent, these are always a bit of fun;

% of bar sales on the day?

Get creative with your event, but please let us know as much detail as possible about your plans!
What do you need to set-up? Not much!

A projector or TV large enough for your guests to see and hear Samuel present his video. Please test it for us in advance! For the video link and instructions for screening it, click here. (If your event is outdoors we can play the video from our trailer TV).

A table in the corner (or an area to put our own) for Samuel to sign books etc. There should be enough room for people to line up here.

Drinking water and tissues.

If possible, Samuel appreciates having a quiet room to take a break during the event.

Samuel has a loud voice, so a microphone is generally NOT required, but if you have a large group or outdoor assembly space a microphone would be appreciated.

Whatever catering, seating, decorations, entertainment etc you feel - that’s all up to you. If you’d like to place info about LYS on your tables or at the bar, please find a flyer that you can download and print here.

If your event is taking place outside, please think about a wet-weather contingency plan.
Feeding & watering us:
We appreciate offers to feed Samuel and the team during events, but we often find it tricky to eat amongst all the excitement. We do however appreciate it when we can take a ‘boxed up something’ to munch on afterwards. Please and thank-you!
What will Samuel talk about?
Samuel speaks about his personal experiences including riding a unicycle around Australia, his sister Connie’s cancer, and what he has learnt about the current state of cancer research in Australia, in particular Personalised Medicine. Sometimes he’ll throw in a showbiz yarn!
Care and Consideration.
Samuel is committed to vanquishing cancer with joy. Nevertheless, his story and passion is around cancer, which can be a distressing topic for some. Please make provision for any guests to opt out if they find our visit upsetting. And, on arrival, please let us know if anyone might need extra care from us.

SAFETY:

FIRST-AID & WWC: All our touring crew have current first aid certificates and working-with-children checks (copies can be provided on request).

Evacuation: In the event of an emergency or medical incident, our team will be guided by you and/or venue staff in following the venues standard emergency procedure.

Speaking of emergencies … the onus is on venues to provide Public Liability Insurance. However, if required, please find the LYS Certificate of Currency here




OUR ROADCREW:
Samuel travels with a team of 2-3 people who will attend your event, and assist you and your staff. If there is anything you need on the day please don’t hesitate to ask one of us!
